Description

Community Space A is located in the front half of the library annex next door at 904 Elmgrove Rd. and is accessed through a corridor on the library’s first floor.  It seats 50.  A retractable wall can be closed to separate it from Community Space B.  Please note that sound may carry through this wall when both halves are in use.  Also, simultaneous use of the AV systems by two groups may cause video and sound conflicts, as they are operated by a single control panel located in B. If these issues are a concern, we recommend booking the entire Community Space for your group.

  • Furniture: The room has 70 chairs (some stored on dollies) and wheeled tables that can be easily moved around.  For groups of more than 70, chairs can be brought over from the library (with advance notice at time of booking).
  • Tech: The room has WiFi, and an AV system with two ceiling-mounted video projectors and screens (one pair per half).  A single device can be output to one or both screens.  The room does not include a computer or DVD/Blu-ray player, but the library can provide them with advance notice at time of booking.  For those bringing their own laptop, a wireless dongle is available that allows Windows or Mac laptops to screencast through the AV system (you may also plug in to the system with an HDMI cable that we can provide).  A podium with microphone is available for those needing amplification.
  • Please note that setup and teardown are the responsibility of those using the room.

RULES:

  • Walk-ins are not allowed.
  • An individual or group may reserve the Meeting Rooms up to 5 times per month totaling 16 hours of use during the month.  Meeting Room requests require staff approval, and you will be notified by email.
  • Only one reservation may be made at a time; there is no block-booking. Requestors must wait until their meeting has concluded before making another reservation.

  • Individuals and groups must set up their own furniture and are also responsible for moving their own equipment and materials. Room must be restored to original condition.
  • Rooms are available on a first come, first served basis. No reservations will be booked more than two (2) months ahead.
  • The rooms are not available on Sundays, holidays or times when the Library is closed.
  • Use of rooms cannot extend beyond the Library’s business hours. Users must vacate the room 10 minutes before the Library closes.
  • The person booking the room will be responsible for any damage to the room.
  • The Library should be notified promptly of any cancellations. Frequent cancellations or no-shows may result in loss of room privileges.
